Cloud Edition: Release Notes (Version 4)

Cloud Edition Release Version 4 is designed to refine existing functionality for efficiency and customer need. The following release notes detail the changes that are in effect with the Version 4 Release. For step by step instructions, please refer to the User Guide. A Note About Software Upgrades

Cloud Edition is upgraded to the latest Version for all user accounts during each release deployment. Version releases may result in an interruption in service or web portal access. Users can review the Cloud Edition Status online for updates on downtime and maintenance windows. Upgrades should not override existing sync configuration. Depending on settings created by an Admin, end users may or may not have access to all of the features listed within the Release Notes. In this case, please contact your Administrator.

 


General Sync Enhancements

Case Sensitivity Support for Email Addresses

Previous Functionality: Items would not sync between Outlook and Salesforce if the email addresses did not completely match, including case sensitivity.

Enhanced Functionality: Items will sync based on character matching between Outlook and Salesforce regardless of case sensitivity. For example, an email from Sally.Anderson@linkpoint360.com will sync to a Contact record with an email entered as sally.anderson@linkpoint360.com (note the difference in capitalization).

Daily Sync Report Criteria Updates

Previous Functionality: Daily Sync Reports were sent on a regular basis, when enabled, regardless of Sync Job activity as long as a Sync Job was enabled.

Enhanced Functionality: Daily Sync Reports are now sent only if the user’s Sync Jobs process information. If Sync Jobs are enabled but do not find new content to sync, Cloud Edition will not send out a report.

Default Sync Settings Updates

Previous Functionality: The default Sync Frequency for all Sync Jobs was set to run every 30 minutes.

Enhanced Functionality: The default Sync Frequency is now configured to run every 60 minutes for Calendar, Email, and Task Sync and every 720 minutes for Contact Sync. The default settings will apply to new users and will not automatically affect existing users who have established sync settings/frequencies. This enhancement is designed to optimize sync performance and reduce the occurrence of data updates (especially Contacts) that can affect mobile users and their data usage/costs.

Previous Functionality: Email and Calendar sync jobs automatically searched all Email fields in Salesforce in order to identify Leads and Contacts for recording items.

Enhanced Functionality: Users can now disable searching on alternate email address fields. This option is on by default and can be disabled at the Subscription, Profile, or User level independently for both Email Sync and Calendar Sync with the Alternate/Secondary Email Addresses setting.

Expanded Exchange Host Connection Options

Previous Functionality: Users were required to connect to Exchange by manually entering their User Name and Password information within the Exchange Host Edit screen.

Enhanced Functionality: Users can now choose between the manual connection option (as previously designed) or select the Office_365 option in the Connection Type drop-down list. Selecting Office_365 will launch a new browser window for the user to authenticate their credentials directly through the Microsoft Sign In Portal.

Salesforce Partner Communities Support

Previous Functionality: Salesforce Partner Community integration was limited to Salesforce Orgs with specific URL formats.

Enhanced Functionality: Salesforce Partner Community integration is expanded to encompass broader URL formats. To configure, the Cloud Edition Admin can enter their Partner Community URL and ID details at the Profile level. When the Customer URL is set and locked by a Cloud Edition Admin at the Profile level, the URL is visible to users but cannot be edited.

Sync History Screen UI Updates

New Functionality: The Sync History screens for Calendar, Contact, Email, and Task Sync now display information in a clearer manner. The Associated column presents a list of Contact/Lead Names, rather than email addresses, to indicate the record(s) that the item was recorded to. The Email Addresses column lists all of the email addresses on the item for reference only.

User Report Delivery

Previous Functionality: Administrators were able to download a full User Report as an Excel file via the Dashboard. The file downloaded to the user’s computer through the web browser.

Enhanced Functionality: Administrators can generate a full User Report as an Excel file with per user-details via the Dashboard. The report is emailed to the Admin as an attachment once it has been processed.

Calendar Sync

All-Day Event Support

Previous Functionality: Calendar events set to All Day did not resolve during the sync process.

Enhanced Functionality: All-Day calendar events are now supported during the sync process. Note that the customer must enable support for the All Day Event option within Salesforce for Exchange items to sync without error.

Event Status Match

Previous Functionality: Calendar events with statuses other than Accepted, such as Tentative, were not included in any sync attempts.

Enhanced Functionality: Calendar events with alternate statuses now sync between Exchange and Salesforce. Differences in status names between Exchange and Salesforce are accounted for and mapped accordingly. Exchange events with a Tentative status sync to Salesforce with a Busy status.

Note that the Working Elsewhere status is not supported in Exchange 2010. Exchange events with a Working Elsewhere status in Exchange 2013 and above sync to Salesforce with an Out of Office status.

Syncing Meeting Invitees

New Functionality: Users can now enable Calendar Sync to sync recipients on Outlook meetings to the Invitees fields within Salesforce. This option is off by default and can be enabled at the Subscription, Profile, or User level with the Sync invitees to Salesforce setting.

Support for Distribution Lists

New Functionality: Emails and Calendar Items sent to Distribution Lists will sync to all related Lead or Contact records in Salesforce. Cloud Edition will identify the individual email addresses included in the Distribution List and match to Salesforce accordingly.

 


Smart Address Sync

Smart Address Update with View Filter Changes

Previous Functionality: User Smart Addresses did not resync and/or update when a Salesforce Admin revoked their access to the Salesforce View used to filter their Smart Addresses for a particular Object.

Enhanced Functionality: Smart Addresses will now resync when the Salesforce View is changed or access is revoked.

Miscellaneous

Subscription Expiration Notices 

New Functionality: Notification messages are now displayed within the Cloud Edition web portal to alert Admins and end users when their Evaluation or Paid Subscription is either about to expire or has expired. Users will be prevented from logging into Cloud Edition in the event that an account expires. The notification messages include details such as the number of days left on a Subscription and the appropriate teams to contact to renew a Subscription or regain access.
